Terms

TERMS OF PAYMENT:

A deposit of 20 % is required as confirmation at the time of booking.
The remaining quoted package balance is to be paid 28 days prior to arrival.
All relevant travel documents will be forwarded to you after final payment.
Payments are to be made by international bank transfer to our bank account in South Africa.

CANCELLATION POLICY:

This policy is fixed and is not changeable for any circumstance.
Should a cancellation be made after full package payment is received, a refund based on the policy below will be returned to the payee whose details were used when making the original booking

More than 21 days before arrival	20 % Deposit is Forfeit
From 21 - 14 days before arrival	40 % of Full Fee is Forfeit
From 13 - 7 days before arrival	70 % of Full Fee is Forfeit
Less than 7 days before arrival	Full Fee is Forfeit

VALUE ADDED TAX (VAT):

VAT of 14 % is only levied on our daily rates and extra services

No VAT is payable on animals hunted or hunting packages

Keep your receipts for goods purchased for more than R250, as VAT payments will be
refunded for these items at any of the international airports in South Africa prior to your departure

TERMS AND CONDITIONS ON HUNTING:

A deposit of £700 is required in order to confirm the hunt. Balance is paid on arrival
All prices are quoted in Pound Sterling (£)
All basic charges will be confirmed in writing
Fee totals for animals killed, wounded and lost, which are not included in the package, will be calculated upon completion of the safari.
All payments are to be made by Bank Transfer to our Bank Account in South Africa
We maintain reasonable care and precautions for the safety of our clients. However, we accept no responsibility for any illness, negligence, accident or loss, or for expenses arising there from.
Package animals cannot be exchanged for other animals
Package hunters can shoot extra animals from the trophy list at only the trophy price .
There will be no refunds on cancellations unless the safari can be rebooked or the cancellation is done more than four months in advance less 15 % charges.
A written contract will be concluded before the commencement of the safari stating all costs.
There is no refund on package trophies that were shot at or wounded, animal will only be refunded if the hunter was not given a chance at a shot, the trophy will then be refunded at a 20% reduced rate.
Safari to be paid in full upon completion of hunt

INSURANCE:

We endeavour to ensure your safety but despite all the necessary safety measures we take, we advise you to take out an appropriate insurance (e.g. a foreign travel insurance, worldwide cover hunting liability insurance, hunting and sports weapon insurance, travel cancellation insurance, etc.), to safeguard against any unpredictable consequential damage, accidents, loss or injuries
It is a condition that all clients sign a “Personal Indemnity Form” before taking part in any activities.

CONTRACT TERMS & TRAVEL CONDITIONS
FOR ONVERWACHT GAME LODGE PTY LTD:

1. The Contract

The contract between yourself and Onverwacht Game Lodge comes into effect with written reservation by letter, e-mail or fax accepting our offer, Terms & Conditions.

Or by personal reservation direct at our Game Lodge in South Africa.

From this point onwards rights and duty of contract between yourself and Onverwacht Game Lodge are legally binding.

Should extra persons other than mentioned in the contract wish to join the trip, the same terms and conditions apply.

All clients must agree to sign an indemnity form on arrival at your first stay of accommodation.

2. Conditions

Onverwacht Game Lodge is committed to fulfil all conditions as outlined on our website.

Special requests will be considered and responded to on site during your trip.

3. Timetables

All travellers are responsible for their own punctuality for all journeys and travel at the expected arrival / departure times.

4. Payment

Payment is due on acceptance of our offer with your written reservation. Terms of payment are outlined in our payment terms.

Payments are to be made by Bank Transfer to our Bank Account in South Africa.

Payments are accepted in the following currencies: Euro, Pound Sterling, US Dollar and South African Rand. (Please forward a copy of the payment slip to Onverwacht as proof of payment).

By not conforming to our Payment Terms, we reserve the right to withdraw our offer.

5. Short Notice Bookings

Should you decide to book your holiday less than 30 days before your travel dates, the full amount of our offer is payable with your reservation.

6. Price Structure

Our prices are fixed and firm for the period offered. We reserve, under unforeseen circumstances, the right to cancel the trip, but not less than 30 days before the start of your trip.

The full amount paid up to the date of cancellation will be reimbursed.

7. Cancellation Policy

Our cancellation policy will apply as outlined in our payment terms on any cancellation after reservation acceptance.

We can only accept written cancellations in the form of a letter, fax or email.

We would strongly recommend that you take out full insurance, which will in most cases include cover, under certain circumstances, against loss of deposit or cancellation.

8. Transferring Bookings

If any person named on a booking is prevented from travelling as a result of illness, the death of a close relative, jury service or significant reason, we will agree to that person’s booking being transferred to another person who satisfies all the conditions applicable to the package, subject to both persons accepting liability for full payment of the holiday cost.

We must be given at least 14 days notice of any transfer request.

9. Program Changes

Onverwacht Game Lodge reserves the right to change the program and routes of the trip if:

It is in the interest of the guests.
Local conditions have changed.
Unfavourable weather conditions.

10. Changes due to Circumstances beyond our control

We will not be liable to pay any compensation if we are forced to cancel or in any way change your holiday as a result of unusual or unforeseeable situations outside our control, the consequences of which could not have been avoided even with all due care. These include unavoidable technical problems with transport, war or threat of war, civil strife, industrial disputes, natural disaster, bad weather, epidemic or terrorist activity.

11. Passports, Visas & Health

You will need a full passport with at least 6 months years of validity remaining at the time of your return date.

Visas will be issued by the South African Immigration authority on arrival.

You should contact your GP or a specialist vaccination centre for details of the measures you will need to take prior to departure.

12. Children on Holiday

No children under the age of 14 years old on the date of arrival are allowed due to the nature of the environment.

13. Accommodation

Visitors at Onverwacht are accommodated in the following:

4 Rondavels with Double Bed en-suite

3 Lodge Suites with Twin Beds en-suite

1 Lodge Suite (Farm House) with Double Bed en-suite

1 Lodge Suite (Farm House) with Twin Bed en-suite

All accommodations used while touring will be of a high standard.

Our 12 and 19 day tours are All Inclusive. This is to say that all clients will be provided with Breakfast, Lunch and Evening meal at all accommodations, as well as all local drinks.

Hunting packages are half board. This is top say tat all hunting clients will be provided with Breakfast, Picnic and Evening meal, as well as all local drinks.

Meals and drinks for all other clients can be provided as shown on the menu / bar tariff.

14. Activities at Onverwacht

a. Additional activities that are not included within the tour are available as optional tours and are subject to demand and additional costs.

b. Walks and Hikes on marked walking routes can be undertaken within the Onverwacht Boundaries without guides.

c. Walks and Hikes off the marked walking routes but within the Onverwacht Boundaries must be accompanied by a guide.

15. Curtailment

If you cut short your holiday and return home early in circumstances where you have no reasonable cause for complaint about the standard of accommodation and services provided, we will not offer you any refund for the remainder of your holiday not completed, or assist with any associated costs you may incur. Depending on the circumstances, your travel insurance may offer cover for curtailment and we suggest that any claim is made directly with them.

16. If you have a complaint while you are on holiday

If you have cause for complaint whilst on holiday, you must bring it to the attention of our local representative or agent and the hotel immediately. They will do their best to rectify the situation.

Should you complaint be unresolved during your holiday, you should make a complaint in writing within 28 days of completion of your holiday at Onverwacht Game Lodge.

Please remember to quote your booking reference number on all correspondence.

17. Our Commitment

Onverwacht Game Lodge is committed to providing you a trouble free and enjoyable holiday as described in our travel brochures.

Our personnel will endeavour to give you the best attention and service at all times.

18. Questionnaire

We are committed to improving the standard of our holidays and it is only with your feedback that we will be able to achieve our aim. We would therefore appreciate it if you would spend a few moments to complete and return a questionnaire before you leave us.

19. Liability Restriction

Liability Restrictions include international agreements and national laws. Restriction on damages resulting from non-compliance of contract will favour Onverwacht Game Lodge. Onverwacht Game Lodge is only liable in the frame work of international agreements and the national law of South Africa.

20. Liability Exclusions

Onverwacht Game Lodge is not liable if the non-compliance or part non-compliance of contract is for the following reasons.

Missed Flights or Connections during travel.
Unforeseen or unavoidable default and delays caused by a third party which is not directly involved in executing the contractual commitment.
Act of God or natural disaster over which Onverwacht Game Lodge has no influence to change or divert despite all possible effort.

21. Personal Liability

For personal injury, death or bodily harm etc. during the holiday, Onverwacht Game Lodge will accept liability should any of our delegated representatives be found guilty of the causes.

The liability will only extend to the value of the contract price. Liability limits are restricted to International Agreement and the National Laws of South Africa (See Paragraph 19).

22. Extra Entertainment during your Holiday

Onverwacht Game Lodge will not be in any way liable for extra tours and activities outside of the agreed contract.

23. Insurance

We recommend all travellers take out the necessary Insurance to cover all holiday risks. i.e. Early return travel costs, lost luggage, accidents and health care etc.

24. Court of Law

South African Laws are applicable for any law dispute between the client and Onverwacht Game Lodge.

All cases against Onverwacht Game Lodge can only be heard at a Court of Law in Cape Town South Africa.
